📘 Section 17: Organizational Process assets

Organizational Process Assets (OPAs) are the internal assets of an organization that influence the management of a project. Unlike Enterprise Environmental Factors (EEFs), which are constraints and influences outside the project manager’s control, OPAs can be modified and improved by the project team.

🧩 Types of Organizational Process Assets (OPAs)

There are two categories of OPAs:

1️⃣ Processes, Policies, and Procedures
2️⃣ Organizational Knowledge Repositories

1. Processes, Policies, and Procedures

These are guidelines and frameworks established by the organization to ensure consistency and efficiency in project execution.

Examples:

  • Project Templates (e.g., risk register, project charter template)
  • Standard Operating Procedures (SOPs)
  • Change Control Procedures
  • Quality Standards
  • Communication Policies
  • Procurement Guidelines
  • Resource Management Policies

When are they used?

  • During project planning, executing, and closing phases.
  • Ensures that the project aligns with the organization’s way of working.

2. Organizational Knowledge Repositories

These are databases and archives that contain historical information and lessons learned from previous projects.

Examples:

  • Lessons Learned Repository
  • Historical Project Files
  • Financial Records
  • Issue and Defect Logs
  • Risk Register from Past Projects
  • Configuration Management Databases

When are they used?

  • Throughout the project lifecycle for decision-making and improving project outcomes.
  • Helps the project team avoid mistakes from the past and replicate best practices.

📝 Key Differences: OPAs vs. EEFs

🎯 Key PMP Exam Tips:

  1. OPAs are internal and can be updated by the project team.

    • Example: Adding new lessons learned to the repository.
  2. OPAs include both documented processes and knowledge repositories.

  3. OPAs are unique to each organization.

    • One company’s OPAs might not work for another.

Here’s a set of quiz questions on Organizational Process Assets (OPA) with varying difficulty levels to help you prepare for your PMP exam. 🚀
